Payroll Specialist (Remote in USA) – Full Time
Job Description:
We are seeking a detail-oriented and experienced Payroll Specialist to join our accounting team in a fully remote capacity. In this role, you will be responsible for managing and processing U.S. payroll, overseeing international payroll operations, and coordinating with our Employer of Record (EOR) partner. You will ensure timely and accurate payroll processing while maintaining compliance with all applicable regulations.
Key Responsibilities:
- Process bi-weekly and/or semi-monthly payroll for U.S. employees, including salaried and hourly staff.
- Maintain payroll records and ensure accuracy of employee data (e.g., wages, benefits, taxes, deductions).
- Ensure compliance with federal, state, and local payroll, wage, and hour laws and best practices.
- Manage relationships with international payroll providers and EOR partners to ensure accurate and timely payroll for global employees.
- Review and reconcile international payroll reports and invoices.
- Prepare and file payroll tax reports and support year-end processes including W-2s and international equivalents.
- Respond to employee inquiries regarding payroll matters in a timely and professional manner.
- Reconcile payroll accounts and assist with month-end close activities. Including payroll, bonus and PTO accruals.
- Collaborate with HR on onboarding, offboarding, and employee status changes.
- Support audits and provide necessary documentation as needed. Including 401k, subsidiary statutory and tax support.
Required Skills:
- Minimum 2 years of experience in U.S. payroll processing.
- Hands-on experience with ADP payroll systems is required.
- Experience managing or coordinating international payroll and/or working with Employer of Record (EOR) providers, preferred not required.
- Experience working in a multi-state and multi-country payroll environment.
- Strong knowledge of payroll laws and regulations (FLSA, IRS, state-specific rules).
- Proficiency in Microsoft Excel (pivot tables, vlookup and xlookup) and accounting software.
- High attention to detail and strong organizational skills.
- Excellent communication and problem-solving abilities.
- Experience calculating accruals in accordance with GAAP.
- Experience with process improvements and efficiencies.
- Ability to handle confidential information with integrity.
- Comfortable working independently in a fully remote environment.
Preferred Skills:
- CPP (Certified Payroll Professional) certification
- Familiarity with benefits administration and payroll integrations.
Salary:
Our compensation reflects the cost of labor across several?U.S. geographic markets. The base pay for this position ranges from $40,000 to 50,000 annually. The range displayed on this job posting reflects the minimum and maximum target for new hire salaries for the position across all US locations. Within the range, individual pay is based on a number of factors including market location, job-related skills, experience, and relevant education or training, as well as Inviso’s differing lines of business.
